Part of AI Customer Support & Call Routing

Customer-specific answers by phone, for the right caller only

Their order. Their answer. Only once it’s really them.

“Where is my order?”, “When is my service visit?”, “What is the status of my ticket?” A phone assistant can answer these, but only once it knows who is calling and that they are allowed to see the record.

This page explains how verified lookups work within AI Customer Support & Call Routing. It is custom work for your systems, not a ready-made connection to every platform.

The call

A verified lookup, step by step

Each step only starts when the previous one has succeeded. Every failure has a defined way out. The example is an order; the same pattern applies to bookings, projects, accounts and service requests.

  1. Customer

    Call

A customer calls about an order and gives the order number.

  2. Assistant

    Verify

Their identity is checked by a method you approved, for example a one-time code sent to the phone number or email on the account.

  3. Business system

    Authorise

Your backend confirms the verified person is allowed to access this record.

  4. Business system

    Request

A server-side integration requests the status from your documented API.

  5. Assistant

    Explain

The assistant explains the returned status in plain language and answers follow-up questions about it.

  6. Person

    Fall back

Verification failures, missing data, API errors and unsupported requests receive an agreed fallback or a human handoff.

Authorisation

Why a reference number is not enough

  1. Reference numbers are not secrets

Order, booking and ticket numbers appear in emails, on parcels and in screenshots. Without verification, anyone holding one could ask about someone else’s record.

  2. Verification proves who is calling

Using a method you approve, such as a one-time code to contact details already on the account.

  3. Authorisation proves they may see it

Your backend confirms the verified person is linked to the record before anything is requested.

  4. Credentials stay on the server

The integration calls your API from the server. Credentials never pass through the call or a browser.

Where it applies

Order status, delivery updates and return-request status.

  • Real estate

    Bookings

Booking details and construction updates you have approved for buyers.

  • Service businesses

    Service requests

    Visit schedules and service-request status.

Fallbacks

When the call does not go to plan

  • Verification fails

No details are shared. The caller can try another approved method or ask for a callback.

  • No matching record

The assistant does not reveal whether a record exists to an unverified caller, and offers another route to help.

  • The system is slow or unavailable

The caller is told the status cannot be checked right now and is offered a callback or a person.

  • Request outside scope

Cancellations, changes, refunds and complaints go to a person unless you have approved and integrated that action.

  • The caller asks for a person

They are transferred or offered a callback, as configured.

Requirements

What we need from you

  1. A documented API

With a way to look up the record and the customer it belongs to.

  2. A test environment

Test records or a sandbox, so the integration is proven without touching real customers.

  3. An approved verification method

Agreed with whoever is responsible for customer data in your business.

  4. Response rules

Which details may be read out, and how they should be worded.

  5. A handoff destination

A support queue, phone number or callback list.

Questions

About verified phone lookups

Does this work with my platform?

It depends on whether your platform offers a documented API we can call from the server. We confirm this during discovery.

Can customers make changes by phone?

Only if you approve that action and it can be done safely through your API. By default, changes go to your team.

Is this the same as the website login assistant?

No. This verifies callers on the phone. The Authenticated Customer Assistant works on your website for customers who are already signed in.

Is customer data stored?

Only what is agreed for the project, such as call outcomes for your records. This is decided with you before launch.
